Delivery Management Software

Overview

Impact Office Supplies is a Queensland-owned office supplies company delivering nationwide. Organising their delivery runs was manual and paper-based, with no live view of where drivers were. We built custom delivery management software with one dashboard for office staff and another for drivers, integrated with their Options ERP.

The software handles around 15,000 deliveries a month across a fleet of 20+ vans and drivers, for both B2B and D2C orders. It's also used by Blue Ink Group in Canberra.

Challenges

1. Manual Delivery Planning: Organising delivery runs was slow and manual, which could lead to delays.

2. No Live Tracking: There was no real-time view of drivers or deliveries.

3. Paper Invoices: Runs were organised on paper, which created waste and made it hard for staff to coordinate several drivers.

4. No Driver Tools: Drivers and staff had no proper tools for managing deliveries.

Solution

1. Staff Dashboard: Staff group invoices into run groups by area, create delivery runs, and manage pickups, supplier returns and deliveries on an interactive map.

2. Driver Dashboard: Drivers load parcels for their assigned runs, get automatic routing, collect customer signatures on invoices and record returns to sender with a reason.

3. Options ERP Integration: Invoices are imported from the ERP in real time throughout the day and assigned to run groups, alongside a nightly sync of 10 million records.

4. Google Maps Routing & Live Tracking: Runs are routed and plotted on Google Maps, and staff can see each driver's last location on a map of all deliveries.

5. Customer Notifications: Customers get an email when their order is loaded on the van, delivered, or returned to sender.

6. Fleet Management: Drivers, vehicles, servicing reminders, delivery zones, and start and end kilometres for each vehicle.

Results

1. Less Manual Work: Planning runs takes much less manual work, and dispatch is more accurate.

2. Live Visibility: Staff can see where drivers are and the status of each delivery, so they can respond to problems faster.

3. Paperless Invoices: Invoices come through from the ERP digitally throughout the day, and customers sign for deliveries digitally.

4. Better Customer Communication: Automatic emails keep customers updated on their delivery.

5. Used By A Second Business: Blue Ink Group in Canberra also runs its deliveries on the software.
